Maison Femme Privacy Notice & App Usage Terms
Effective 16 September 2026
1. Who is responsible for your information
The Maison Femme members app is operated by Maison Femme Group Ltd (Maison Femme, we, us). This notice explains how we handle information in the app. Contact contact@joinmaisonfemme.com for privacy, support or account requests.
Membership, event and travel booking agreements may contain separate terms. This notice covers the members app; external websites and services have their own privacy notices.
2. Information we use and why
Account and membership: your name, email, sign-in information, membership status, permissions and privacy choices let us authenticate you, administer access and support your membership. Passwords are handled by our authentication provider; the app does not show your password to the team.
Profile and connections: your photo, bio, birthday or age, professional details, interests, expertise, help requested, contact links, home city, travel plans and other information you choose to provide support the directory, introductions and club activities. Profile details and shared updates can be visible to other members. Your birthday supports age and birthday features.Kit sizes and preferences: your colour choices, ring hand and finger, ring size, clothing, hat and shoe sizes help the team prepare welcome boxes and trip kit. These details and your optional notes are private to you and authorised Maison Femme administrators, rather than the member directory. If you choose to include metal allergies or other health information in your notes, we ask for your explicit consent to use it for kit fulfilment. You can withdraw this consent by clearing your notes in Profile, saving your sizes, or contacting us. We do not use these health notes for advertising or AI recommendations.
Activity and content: check-ins, event and trip interest, connection requests, pitches, reactions, concierge messages, images, voice notes and optional AI conversations help us deliver the features you use. Authorised Maison Femme team members can review communications and requests for support, administration and safety.
Billing: membership status, payment amounts, transaction references, invoices and booking records help us manage payments and services. Payment providers such as Stripe handle card payments. The members app does not collect full payment-card numbers.
Service and device information: authentication and server logs can include IP addresses, device or browser details, timestamps and errors. Push notification tokens let us deliver notifications if you permit them. We use this information to operate, secure and troubleshoot the app.
3. Optional city sharing
Location sharing is optional. If you enable it, the app uses your device location while you use the app and rounds coordinates to two decimal places before sending them to BigDataCloud to identify your city. That provider also receives network information such as your IP address. The Maison Femme database stores the resolved city and update time, not device coordinates.
Your shared city supports the member map, Travel Radar and nearby-member notifications. Turn it off in Profile or revoke location permission in iPhone Settings. Turning it off in Profile clears your currently shared city; your home city and travel information you enter separately can remain visible. The app works without location permission.
4. Optional AI features
Maison Femme AI uses Anthropic (Claude). Before using it, you choose whether to send your messages and conversation history to Anthropic to generate replies. Maison Femme stores those conversations, and authorised team members can review them. Avoid including sensitive or confidential information about yourself or other people. AI replies may be inaccurate and do not replace professional advice.
A separate optional choice in Profile allows your name, bio, role, expertise, help requested and home city to be shared with Anthropic for recommendations to other members. Your current city is included only while city sharing is enabled. We do not add contact details, birthdays, billing records, check-ins or private concierge messages to that recommendation context.
You can withdraw AI chat permission and turn off AI profile recommendations in Profile. This stops future use under that choice; it cannot recall information already included in earlier replies or remove information another person has saved. See Anthropic’s privacy information at https://www.anthropic.com/legal/privacy.
5. Service providers and sharing
We use Supabase for authentication, database and file storage; Twilio SendGrid for service emails; Apple for iOS distribution and push notifications; and Stripe for payment services. Optional location and AI processing use BigDataCloud and Anthropic as described above. The public Maison Femme website is hosted with Wix.
We share information with authorised staff and service providers as needed to deliver and support membership, operate the app, protect people and systems, or meet legal obligations. We may need to disclose information to professional advisers, authorities or another organisation involved in a business transfer where legally permitted.
Providers and authorised staff may process information in countries different from yours. Applicable protections depend on the provider, processing activity and location. Contact us for details of the safeguards relevant to your information.
We do not sell member information or use it for cross-app advertising tracking. App membership does not automatically give us permission to feature your profile or photos in public marketing.
Uploaded profile photos and message attachments use hosted file links. Anyone who obtains an accessible file link may be able to view that file, so do not upload confidential documents or information you do not have permission to share. Members must respect the confidentiality rules below.
6. Our reasons for processing and your choices
Where data-protection law requires a lawful basis, we use information to perform our membership or service agreement, comply with legal obligations, and pursue legitimate interests in operating and securing the club, assisting members and preventing abuse. We rely on consent where we ask for optional choices, including AI sharing, device location access and marketing emails.
Marketing email consent is optional and separate from joining. You can unsubscribe or contact contact@joinmaisonfemme.com to change your choice. Essential sign-in, account and booking messages are still sent as needed to provide the service.
You can edit your profile, change the available privacy choices, revoke device permissions or ask the team for help. Withdrawing consent does not undo processing that was already lawful before withdrawal.
7. Retention and account deletion
We keep information for as long as needed for the purposes described here, including operating an active membership, resolving disputes and meeting applicable recordkeeping duties. Retention varies by record type and provider.
To delete your app account, open Profile and choose “Delete my account”, then confirm. If you cannot sign in, email contact@joinmaisonfemme.com with the subject “Account deletion”. We may need to verify your identity.
Account deletion removes the app login, profile, dependent member content and associated uploaded files from the active app systems. Financial and booking records may be retained where needed for accounting, legal obligations or outstanding services, with the app profile link removed. Provider security records and backups may remain for their applicable retention periods; copies already received by other people cannot be recalled automatically.
Deleting the app or app account does not automatically cancel a paid membership subscription or a booking. Contact the team to arrange cancellation under the applicable membership or booking terms.
8. Your data rights and requests
Depending on applicable law, you may request access, correction, deletion, restriction or a portable copy of your information, object to certain uses, or withdraw consent. Send requests to contact@joinmaisonfemme.com from your membership email where possible. We may ask for proportionate information to verify your identity.
You can raise concerns with us and, where applicable, your local data-protection authority. In the UK, this is the Information Commissioner’s Office at https://ico.org.uk. Rights can be subject to legal exceptions, including necessary financial recordkeeping.
The app is intended for adults aged 18 or over. Contact us if you believe a child has provided information through an account.
9. App usage and community rules
Access is for invited members using their own account. Keep sign-in credentials private, provide accurate information and tell the team if you suspect unauthorised access. Access to particular services depends on your membership.
Treat others respectfully. Do not post or send harassment, threats, hateful or sexually explicit material, scams, unlawful content or material that infringes another person’s rights. Do not scrape, bulk-export, sell or publicly disclose member information, or use it for unsolicited marketing. Only share information and content you have permission to use.
You retain your rights in content you submit. You allow Maison Femme to store, display and process that content as needed to provide the app features you choose. This does not grant a blanket licence to use your private messages or profile photos in public marketing.
Report inappropriate profiles, messages or conduct to contact@joinmaisonfemme.com or through the available in-app reporting controls. We may review content, remove material or restrict app access to address misuse, protect members or meet legal obligations.
Club content and the app are protected by intellectual-property rights. Use them for your membership; do not redistribute paid or private materials without permission. External websites and services are governed by their own terms.
Availability, event details and AI suggestions can change. Check booking terms and confirm arrangements with the team before relying on them. These app terms do not remove any rights or remedies that applicable consumer law gives you.
10. Changes to this notice
We may update this notice as the app or its providers change. The effective date identifies the version. We will draw material changes to members’ attention and ask for a new choice where required.
